GENERAL

What is BIKE HSS?

BIKE HSS is a one-day cycling MOVEment taking place on Saturday, September 28, 2019 in and around Westchester County, New York, beginning and ending at HSS Westchester in White Plains.

Friends of Hospital for Special Surgery, physicians, staff, and members of the local community will ride and set the pace to improve mobility and musculoskeletal health for people worldwide.

BIKE HSS will raise critical funds for patient care, research, and education to enable people around the world to MOVE better.

  • You choose one of two beautifully and fully supported routes, 25 miles or 62.5 miles.
  • Celebrate at the Finish Line Festival with food and beverages, recovery zone, entertainment and more.

What is BIKE HSS’s Mission?

Funds raised by BIKE HSS will accelerate Hospital for Special Surgery’s efforts to:

  • Drive musculoskeletal research and discovery to identify causes and find cures. 
  • Provide the world’s best, personalized patient care.
  • Share knowledge globally and educate the next generation of leaders in the field.

                            
When is BIKE HSS?

BIKE HSS will take place Saturday, September 28, 2019.  Starting times vary between the 25 Mile and 62.5 Mile option (metric century).


PARTICIPATION 


Who can participate and how old do you have to be?

BIKE HSS is a ride, not a race!  We welcome all participants, from all places, with all levels of cycling ability.  

  • 25 Mile Option:  16+ on or before Saturday, September 28, 2019.  All minors under 18 must ride with a registered adult care giver or parent.
  • 62.5 Mile Option:  16+ on or before Saturday, September 28, 2019.  All minors under 18 must ride with a registered adult care giver or parent.

What is the Registration Fee and what does it include?

Registration for both mileage options is $75, and includes the following:

  • Access to ride in the event, complete with scenic and beautiful fall routes
  • Participant T-Shirt
  • Access to all Rest Stops along the route
  • Access to all Ride Services including Medical, Bike Techs, Bike Parking, Recovery Zones, and more!
  • Breakfast, Lunch + Snacks along the route
  • Complimentary access to the Finish Line Festival, with food and beverages, recovery zone, entertainment and fun for the whole family
  • Ability to earn the annual BIKE HSS Jersey, should you reach your fundraising goal by August 14th
  • Ability to earn other BIKE HSS SWAG by crushing $1K, $5K and $10K fundraising

Do I need to raise money?

Due to our mission in providing critical musculoskeletal care, we highly encourage it.  We set your fundraising goal to what is easily attainable ($500 for 25 Mile Riders and $1,500 for 62.5 Mile Riders), and there are amazing incentive prizes for crushing those goals.  We’re here to help you every step of the way and provide you with great resources and tools to surpass your goals with ease.

Does my Registration Fee go toward my Fundraising Goal?

No, your non-refundable registration fee is not a tax-deductible donation, and therefore can’t apply toward your fundraising goal.  These registration fees help offset the costs of producing the Ride and all of the great services we provide to you.

Are my donations Tax Deductible?

Yes, all donations are tax deductible. The official 501(c)3 organizational name is: The Hospital for Special Surgery.  Our federal employer identification number (EIN) # is 13-6714749.

If I have to withdraw from the event due to a conflict, can I have a refund or transfer to another participant?

All registration fees and donations are non-refundable and non-transferable.  We aim to work with participants on a case by case basis to transfer their registration fees to future events.

What is the deadline for submitting donations?

We will keep fundraising live and open until December 1st, 2019.

Can I set my goal higher than what is populated under my Registration ($500 for 25 Milers, $1,500 for 62.5 Milers)

Absolutely!  We encourage you to strive to fundraise as much as possible - and take home all of the awesome SWAG we provide for those that earn top fundraiser status!

What can I earn as a Top Fundraiser?

All individual participants can unlock the following amazing fundraising incentives!

  • 25 Milers who surpass $500
    • Complimentary BIKE HSS Jersey (must be raised by August 14th)
  • 62.5 Milers who surpass $1,500
    • Complimentary BIKE HSS Jersey (must be raised by August 14th)

If I’m on a team, can we collectively earn the fundraising incentive gifts with our combined funds?

In order to earn the above fundraising incentives, participants must have raised these goals individually on their participant page, not within any pooled team funds.

Can I get my donations matched with a corporate matching gift, and how?

Hundreds of corporations offer matching gift programs that will match dollar-for-dollar contributions made by employees.  This is a great opportunity to raise funds quickly and easily, so don’t forget to ask your HR department if they will match your gift, and make sure your donors are asking theirs too!

  • Step 1: A donation is made on your participant page.
  • Step 2: Have the donor ask their company if they have a matching gift program. If so, the donor can ask for a matching gift form to complete for BIKE HSS
  • Step 3: The donor applies for the match through their company’s website or submits the completed form to their HR department and asks them to send it to the address below:

  • Step 4: Once the match request is received, HSS will confirm the original donation and approve the match. NOTE: Please allow several weeks for processing. We cannot confirm a gift or approve a matching gift until the original gift is fully processed in our database.
  • Step 5: The company will send the matching gift check to HSS on their next distribution cycle.
  • Step 6: Once HSS receives the check, it will be reflected on your fundraising page!

Can I Volunteer for BIKE HSS instead of Riding?

Of course, we love volunteers and are actively looking to fill all types of roles - from serving food and beverage at Rest Stops, to helping at check-in at our Start/Finish Area.  Volunteers must be 18 on or before September 28th, 2019 to work out on the route, and 16+ to work at the Start/Finish Line. Best of all, all volunteers get a t-shirt, a meal ticket, a drink ticket, and their own fundraising page to work to raise funds for HSS, and give back to the cause.  All Fundraising Incentive gifts at $5K and $10K are available to volunteers.

What is a Virtual Rider?

Can’t join us in-person for BIKE HSS, but want to raise funds and support?  No problem! Register as a Virtual Rider at no registration fee, and we’ll give you ideas and resources to put on your own virtual fundraiser.   

All $500 Virtual Fundraisers get a BIKE HSS T-Shirt in the mail. All Fundraising Incentive gifts at $1K, $5K and $10K are also available to Virtual Riders.

LOGISTICS

Where does BIKE HSS Start and Finish?

BIKE HSS will begin at our incredible facility in Westchester, located at 1133 Westchester Avenue, White Plains, NY.

What time does the event start and end?

BIKE HSS Schedule (subject to change, please check your production e-communications from our event team as we get closer to September 28):

7:00am:  Check-In and Start Area Open to Participants (62.5 Miler Priority)
7:45am:  Kickoff and Opening Ceremony
8:00am:  Route opens for 62.5 Milers
8:30am:  Check-In Registration and Start Area Open to Participants (25 Miler Priority)
10:00am:  Route opens for 25 Milers
11:30am:  Finish Festival Area / Cheer Zone open to the Public
4:00pm:  Event Concludes

How do I get myself and my bike there?

Via Car:
Parking is available on-site.  Please plan to arrive before 7:00 AM if you are a 62.5 Mile Participant, and at 8:30am if you are a 25 Mile Participant.   Note, the entrance to the facility will be closed to car traffic from 8:00 AM to 8:10 AM to allow for our our 62.5 Mile Riders to safely enter the route.  We encourage carpooling!

Do I need to supply my own bike?

Yes, all riders should plan to supply their own bike, or one they borrowed from a friend or family member.  See below for more information about Bike rentals. 

What if I don't own a bike?

What should I bring?

Recommended:

  • ANSI-Approved Helmet (*Mandatory Requirement)
  • Bike Pouch or Secure Pockets
  • ID
  • (2) Water Bottles (1 Water, 1 Gatorade)
  • Extra Granola Bars/Snacks
  • (2) Spare Tubes and C02 Cartridge or Pump
  • Bike Multitool

*No Lock is necessary, we have secure bike parking at the Start/Finish Line

What Happens after the Event?

Our Finish Line Festival will be going strong from 11:30am-4:00pm with food and beverages, Recovery Zones, Entertainment and fun for the whole family.

Can my Friends & Family come to the Event?

Yes!  The best place to join you is at the Finish Line Festival at HSS Westchester, beginning at 11:30 am and until 4:00 pm.  Access to the Festival is open to the public to cheer you across the Finish Line, enjoy the entertainment and fun for the whole family.  Note that information on sales of Food & Beverage for the Public will come soon!

Where and when do I check-in and receive my check-in packet?

Check-In packets can be picked up:

Friday, September 27th:  Hospital for Special Surgery, Belaire Plaza, 525 E 71st Street (between York Avenue and FDR)
Time: 11:00 AM - 2:00 PM

Saturday, September 28th:  Check-In + Packet Pickup Option 2 and Event Day!

*IMPORTANT:  Anyone running late that misses the departure time will need to be shuttled several miles up the road for your safety, due to our temporary highway ramp closures.   Please be on time for check-in and plan for the unexpected.

11:30am - 4:00pm:  Finish Festival at HSS Westchester!   Invite your friends and family to cheer you across the finish line and enjoy Food Trucks, PT Recovery Zone, Kids Zone, Live Music and more!

 

 

 

Can I bring my bag and check it at the event?

Yes!  There will be a bag check at the Start & Finish Line, available only to Registered Participants. Please bring your ID in order to retrieve your bag.


ROUTE

What are the actual 25 Mile and 62.5 Mile Routes?

For your safety, and due to unknown construction that can pop up prior to the event, we do not announce the routes in advance.  For the most part, all portions of our Route are not closed to the public, so we try to limit the amount of additional congestion possible along your riding experience.  Know that the routes are extremely well marked during the event, and you’ll also be given access to our GPS app for those that want to follow along via their phones/devices.  

Are there Stops along the Route?

Yes!  There are Rest Stops complete with Food, Water, Gatorade, Bathrooms and Medical every 10-15 miles along both routes.

What if I get tired and can’t complete the mileage?

Have no fear!  SAG vans are here!  We have vehicles patrolling the route to pick up participants (and their bikes) when in need.  You’re also equipped with a wristband with an 800 number that can dispatch a van to your location.
